I have outlined what is required of all directors, staff and volunteers and these need to take effect immediately
UNIFORM
All individuals must wear uniform and lanyards when working for or representing PYP.
Uniforms must be clean and you must be presentable
SMOKING, VAPING, DRINKS, DRUGS
All individuals must not smoke, vape or have energy drinks whilst working at the provision or representing the provision. This includes whilst wearing the uniform, even if not at work. We are role models at all times to young people.
No one can be involved in drugs at any time, working or not
Alcohol is not allowed to be consumed at the provision and individuals must not attend ANY provision, or wear the uniform whilst under the influence of alcohol.
GROUP LEADERS
Group leaders and those who cover group leaders in their absence MUST ensure that the following is adhered to.
All groups must have written protocols, these must be followed at each session and must include the below:
- Risk Assessments that are regularly reviewed
- Dynamic Risk Assessments must also take place throughout the session
- Check for hazards and raise/note them accordingly
- Check First Aid box is present, note any missing items so they can be ordered
- Check that the accident book is present
- Check Fire escapes are free of obstruction (and regularly do drills and ensure new members know where the meeting point is)
- Complete a register at each session
- Ensure you are aware of the DSL for that session
- Ensure you are aware of the collection arrangements for each young person and that these are followed
- Debrief all volunteers and staff at the end of each session
- Complete the evaluation form at the end of each session ensuring that any issues (such as safeguarding) are captured and flagged with the appropriate person (such as the DSL)
- Prior to locking up, scanning the environment to ensure that the venue, including the toilets, is empty and is left clean, secure (windows are locked where appropriate etc) and that equipment is all collected and put away
- Ensure alarms are set and doors properly locked
It is the responsibility of the Business Development Coordinator to ensure that these protocols are in place, and the Youth Development Coordinator to ensure risk assessments are written, and for the group leaders to follow them. In the absence of a protocol, please use the above as a checklist in the interim,
I hope you agree that by following these standards, it will help support the fantastic work that we already do in delivering a high quality youth provision.
With this in mind, if these are not followed, then we will have to consider disciplinary action which could, in some instances, end up in dismissal.
